Privacy Policy

Last updated: October 2026

This Privacy Policy explains what personal data MotionFlow Studio collects when you visit this website or book a call, why, and what rights you have over it. It applies to motionflowstudio.com and its subpages, in all available languages.

Who we are

MotionFlow Studio is a brand operated by Agencity Video Marketing SRL, a company registered in Romania (CUI 46017850, Reg. Com. J31/283/2022), registered office at Sat Bilghez, nr. 109, Com. Nușfalău, Jud. Sălaj, 457261, România — an EU company, so GDPR applies in full. For any privacy-related question, contact oscar@motionflowstudio.com.

What personal data we collect, and from where

We collect personal data through these channels: the website contact form and the project request form (name, email, phone, company and the project details you enter); Calendly bookings (name, email, timezone and any notes); orders on this website (name, email, phone, the invoice details required by law — individual or company, address, tax ID / VAT number, country — the services you chose and your notes); your customer account, if you create one (name, email, a password that is stored only as a salted hash, saved invoice details); the email address you enter during checkout or in a popup, even if you do not complete the order; newsletter sign-ups (email, name if you give it, and the time and place of your consent); the optional "what went wrong" form (reason, message, phone); and our TikTok lead-generation form (name, email, company, your answers and whether you agreed to marketing). Card details are entered only on Stripe's payment page and never reach our servers.

Why we collect it

Answering an inquiry or preparing a quote: legitimate interest and steps taken at your request before a contract. Processing and delivering an order, taking payment and issuing an invoice: performance of a contract and legal obligations (accounting and tax law). Your customer account: performance of a contract and your request. Saving your selection by email and reminder emails about an unfinished order: your consent (the reminder box in checkout or the consent in the popup), which you can withdraw at any time. Newsletter and other marketing emails: your explicit, separate consent. Following up on a quote you asked for: our legitimate interest in answering your request — it ends when you reply or ask us to stop. Anonymous statistics and security: legitimate interest.

Orders and payments

When you order, we use the data above to deliver the service and to issue an invoice. Payments are processed by Stripe (Stripe Payments Europe, Ltd. and Stripe, Inc.) on their own secure page: we receive the confirmation of the payment and limited details (such as the name and email you gave Stripe and your country), never your full card number. Order, payment and invoice records are kept for as long as Romanian accounting and tax law requires (generally up to 10 years), even if you later delete your account.

Customer account

An account is optional — you can always order as a guest, and then no account is created. An account stores your name, email, saved invoice details and order history so that you can order faster and follow your orders. Passwords are stored only as a salted hash. A strictly necessary session cookie keeps you signed in. You can change your details or delete your account yourself under "Account"; deleting it removes your profile, while the order and invoice records the law requires remain, without the link to the account.

Unfinished orders and reminders

The details you type during checkout are saved on our server so that you can go back and continue, and so that we can help if something went wrong; once a valid email address is entered, we add you to our CRM as an enquiry (lead). If you tick the reminder box (or save your selection by email in the popup), we may send up to three reminder emails over a few days — after about 1 hour, 1 day and 3 days — with a link to continue, a short form to tell us what went wrong, and a link to book a free video call. Reminders stop when you order, ask for help, unsubscribe, or after 14 days. If you do not tick the box we do not send reminder emails.

Newsletter and popups

When you subscribe — for example through the popup that may appear when you are about to leave the site — we store your email, your name if you give it, and when and where you consented, and we send a welcome email and occasional news about automation, websites and AI. Every email has an unsubscribe link and a one-click unsubscribe header; afterwards we keep only a note not to email you again. The popup is shown at most once per visit, and not again for 24 hours (visitors with a selection) or 7 days (newsletter) after you close it; this is remembered in your browser (local storage).

Statistics and cookies

We measure visits ourselves, without third-party tools: anonymous page views and the steps of the order process, tied to a random identifier that lives only in your browser tab (not a cookie), together with the page, language, device type (phone, tablet or desktop), the referring site, campaign parameters, the name of the ad platform when you arrive from an ad (not the click identifier itself) and your country, derived from your browser's time zone. When you place an order, the order number is linked to that visit so we can see which channels bring orders. No IP address, name or email address is stored with these statistics, and we respect the "Do Not Track" and "Global Privacy Control" browser signals. We do not use advertising pixels or third-party analytics. We use only strictly necessary storage: a session cookie when you sign in (to your account or, for administrators, to the admin area), and your browser's storage for your theme choice, your current selection and your popup preferences. We will ask for your consent before introducing any behavioural tracking such as click or mouse-movement analysis.

Who else processes this data

Stripe processes online payments. Calendly, Inc. processes booking details under its own privacy policy at calendly.com/privacy. Hostinger hosts the website and its database and delivers our emails. TikTok initially holds any lead-form submission in its own systems before it reaches us. Some of these providers are based outside the EU/EEA (e.g. the United States) — where that is the case, we rely on the safeguards those providers put in place for international transfers, such as Standard Contractual Clauses; see each provider's own privacy documentation for details.

Hosting and server logs

This website is hosted by Hostinger, with servers located in the European Union. Like virtually all web hosting, standard technical logs (such as IP address, browser type, and access times) may be recorded automatically for security and troubleshooting purposes. We do not use this data for tracking or profiling.

How long we keep your data

Order, payment and invoice records: as long as Romanian accounting and tax law requires (generally up to 10 years). Account data: until you delete the account. Inquiry and lead data, including unfinished checkouts: only as long as needed to respond and follow up, or until you ask us to delete it. TikTok itself retains lead-form submissions in its own systems for 90 days after collection. Marketing email data: until you unsubscribe (we then keep only the note not to email you) or ask us to delete it. Booking data is retained according to Calendly's own retention policy.

Your rights

Under the EU General Data Protection Regulation (GDPR), you have the right to access, correct, or delete your personal data; to restrict or object to its processing; to data portability; and to withdraw consent at any time, specifically for marketing emails. To exercise any of these rights, contact us at oscar@motionflowstudio.com. You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP, www.dataprotection.ro) or with the supervisory authority in your own country of residence. Every marketing email has an unsubscribe link, and you can delete your account under "Account" at any time.

Children

Our services are not directed at, and we do not knowingly collect data from, anyone under 16. If you believe a minor has provided us with personal data, contact us and we'll remove it.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our practices or to legal requirements. The "last updated" date at the top of this page reflects the most recent revision.
